Contract and Accounting Administrator

Position Summary:
Seeking an experienced Contract and Accounting Administrator with current construction industry related work experience. Reporting to the Controller, the Contract/Accounting Administrator has primary responsibility for ensuring the day-to-day integrity of all contract and compliance administration duties and assisting with accounting duties. This hands-on role will also provide on-going project support to all functional areas of the business.
Essential Duties and Responsibilities:
- Accounting Administration: (30%)
- Gathering and organizing credit card receipts for data entry
- Preparing bank deposits
- Managing all incoming project invoices for electronic and hardcopy recordkeeping
- Maintaining compliance checks on all subcontractor invoices being processed for payment
- Maintaining user/purchaser access on company corporate accounts
- Maintain fleet vehicle registration records
- Maintain Verizon phone/router management
- Assist with filing, copying, scanning etc. as needed
- Work with team members to streamline and improve processes and procedures
- Entry level accounts payable invoice processing (future)
- Compliance Administration: (30%)
- Process and maintain all DAS reporting requirements
- Process and maintain all STWF reporting requirements
- Maintain any required job site posting with regards to CPR etc.
- Send requests to eMars for new project set-up
- Insurance certificate management. Utilize Procore for entering, tracking, and reporting insurance certificates
- License and DIR Registration management for all subcontractors
- Lien Release tracking. Utilize Procore for entering and tracking
- Process and maintain weekly Certified Payroll Reporting (CPR) requirements (future)
- Assist with new project setup as needed
- Assist with Prequalification and CUPCCA Requests as needed
- Contract Administration: (30%)
- Process all Subcontractor Agreements for projects as directed by Project Manager
- Process all Purchase Orders for projects as directed by Project Manager
- Maintain Commitments in Procore for all projects
- Utilize DocuSign process to route documents for approval and signatures as needed
- Ensure all contracts have been completed as required with all requested documents
- Maintain Subcontractor “Cleared to be Onsite” within Procore
- Safety Compliance (10%):
- Maintain all OSHA reporting requirements
- Assist with maintaining safety training matrix for all employees
- Knowledge of all safety guidelines and procedures as outlined in the FRC safety handbook.
- Attend training as required by FRC, Inc.

- Ability to multi-task and effectively prioritize in a dynamic fast-paced environment
- Must be a self-starter with ability to complete activities with minimal direction
- Must have very strong organizational skills and the ability to follow through on projects
- Demonstrated ability to interact effectively with management and other departments as well as outside agencies and vendors
- Exceptional oral and written communication skills
- Professional attitude and a strong work ethic
- Well-developed analytical skills with the ability to identify and resolve problems in a timely manner
- Ability to read and fully understand the nuances of contract language and legal documents
- Understanding of business insurance, a plus
Qualifications:
- Associate Degree or higher preferred or equivalent work-related experience preferred
- 4 + years within a construction environment preferred
- Procore Construction Management Software preferred
- High Proficiency in MS Office Suite and Adobe Acrobat preferred
- Strong computer/technical analytical skills
